What we collect
- Contact form and quote requests. Your name, email address, phone number, clinic name and type, the service you are interested in, the details you choose in a quote and anything you write in your message. We also email you a one-time verification code to confirm your email address before a quote is sent.
- AI chat assistant. What you type in the chat, plus the contact details (such as phone, email and city) and reason for your enquiry that you choose to share. Chat replies are produced with the help of a third-party AI service.
- Phone calls. When you call 1-877-602-6662, an automated AI voice receptionist may answer. It may collect your name, callback number and the reason for your call. Calls may be recorded and transcribed so we can follow up and check quality.
- Website usage. We use Google Analytics to understand how the site is used. It collects information such as pages visited, approximate location, device and browser type and your IP address, and it uses cookies or similar identifiers. Your browser may also store small preferences for the site, for example that you dismissed an install prompt.
Why we collect it
We use personal information to reply to your enquiry, prepare quotes, book assessments and visits, provide and bill for IT support, keep our systems secure, improve this website and meet legal obligations. We collect it with your knowledge and consent. You consent by submitting a form, using the chat or continuing a call after the greeting, and you can withdraw that consent at any time by contacting us.
Patient information
Please do not send patient names, health information or other patient records through our website forms, chat or voicemail. When we support a clinic's computers and systems, we handle any patient data we may come across only as the clinic instructs us and as our service agreement with that clinic allows. The clinic remains responsible for its patients' information.
Who we share it with
We do not sell personal information. We share it only with service providers that help us run the business, such as email delivery, our customer-relationship management (CRM) system, telephony and AI voice and chat providers, and Google (Analytics, Maps and Fonts). We also disclose information where the law requires it. These providers may process or store information outside Canada, including in the United States, where privacy laws differ from Canada's.
How long we keep it and how we protect it
We keep personal information only as long as we need it for the purposes above or as the law requires, and then delete or de-identify it. We use reasonable safeguards, including access controls and encrypted connections, but no system is completely secure.
Your choices and rights
You may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it or stop contacting you. Email support@mitprofessionals.com or call 1-877-602-6662. We may need to confirm your identity first. You can limit analytics cookies in your browser settings or with Google's Analytics opt-out browser add-on. If you are not satisfied with how we handle a concern, you can contact the Office of the Privacy Commissioner of Canada.
